POSITION SUMMARY: High-quality administrative support for the Abilities First program areas with a directed focus on key areas of need.
Current Areas of Need: This position will provide administrative program support, as well as data collection and management. Provides detail-oriented and customer-focused quality therapy scheduling services ensuring efficient and effective service delivery to our clients/patients along with utilization tracking for Therapists.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Work with the Program Leaders to offer administrative support, project management and customer service in any way necessary including but not limited to (Additional duties as assigned):
Pediatric Therapy:
- Schedule therapy sessions for clients/patients based on availability of therapists and client/patient preferences.
- Serves as the primary point of contact for scheduling-related inquiries from clients/patients, therapists, and other stakeholders.
- Verify insurance coverage and obtain necessary authorizations for therapy services.
- Maintains accurate records of scheduled appointments, cancellations, rescheduled sessions, utilization, etc.
- Provide back up support to billing and fulfill medical record requests.
- Digital platform management and maintenance (WebPT, Therabill, Brightwheel, etc)
ECLC
- Collaborate with the ECLC leadership team to provide Administrative Support where needed.
- Connect ECLC children and families to Therapy for out-patient services.
- Provide back up support to billing.
- Support with swipes
ALC
- Collaborate with ALC leadership team to provide Administrative Support where needed.
- Connect ALC children and families to Therapy for out-patient services.
- Provide back up support to billing.
- Work with Intake to set up and maintain Brightwheel profiles.
Success
- Coordinate all EXTERNAL success functions including providing referrals, connecting families to resources and researching available services and resources for the Agency and/or for our families.
FORMAL EDUCATION/TRAINING
- Associates degree (Minimum), Bachelors preferred.

- Strong customer service skills with the ability to work with diverse people
- Effective organizational and time management skills
- Verbal and written communication skills
- Understanding of agency programs and systems
- Ability to use software programs, medical technology, database and develop new systems as the need arises.
- Ability to juggle multiple tasks in a fast-paced environment
- Problem-solving skills
- Fluency in other languages is beneficial
- Proficiency in Microsoft Office Suite.
- Experience in working with teams and multiple programs.
- Committed to the concepts of continuous improvement.
